n8n, Make, Zapier, CRM/WhatsApp flows

Engineers who delete the copy-and-paste work between your systems. n8n, Make and Zapier flows built to be monitored and maintained, rather than abandoned the week their author resigns.

Most companies have three or four processes quietly costing a day a week each. An order retyped into the accounting system. A lead forwarded by hand. A report somebody assembles every Monday morning from four exports and a bad mood. Automating those is not hard work. It is work that never reaches a roadmap, because it belongs to nobody in particular.

Our automation engineers do it properly. Workflows in n8n, self-hosted in your own environment where data residency matters, or Make and Zapier when volume is low and the subscription beats the hosting. And built like software: version-controlled where the platform permits, with error branches, retries, dead-letter handling and alerting, so a silent failure becomes a Slack message rather than a discovery three weeks later during a reconciliation.

Where a workflow needs real logic, they drop into JavaScript or Python inside the flow, or move that step into a small service. What they do not do is build a hundred-node diagram only its author can read, which is the usual reason companies stop trusting their automations.

WhatsApp and CRM work is a large share of it: Business API flows for order updates and appointment reminders, CRM routing and enrichment, document generation and delivery.

When a dedicated automation engineer is the right call. You can name three manual processes that hurt. You already have automations and they fail without anybody noticing. You want one engineer owning the connective tissue between your tools instead of each team wiring up its own.

When it is not. High volume, latency-sensitive, or handling money at scale? Have a backend engineer build a proper service. Workflow tools are the wrong shape for that, and we will say so rather than sell a month of n8n.

Most engagements pay for themselves in recovered hours within the first quarter. That is a claim you should test against your own numbers, and the first fortnight is designed to let you do exactly that.

Scope

What they do

n8n workflow development

Self-hosted or cloud n8n flows with error branches, retry policy, dead-letter handling and an alert when something stops.

Make and Zapier builds

Lower-volume automations where a subscription beats hosting, built and documented so your own team can adjust them later.

CRM and sales automation

Lead routing, enrichment, deduplication, scoring and handoff between HubSpot, Zoho, Pipedrive and your product.

WhatsApp and messaging

WhatsApp Business API flows for order updates, appointment reminders and support routing, inside Meta's policy rules.

Document and reporting flows

Invoice and contract generation, e-signature routing, and scheduled reports assembled from several systems without a human in the middle.

Monitoring and handover

Health checks, run history, failure alerting and written documentation, so the automation outlives whoever commissioned it.

How it works

How to hire

01

Name the three processes that hurtDay 0

Which task, how many times a week, and roughly how long it takes. That is enough to work out whether automation pays for itself here.

02

Profiles, plus a process map48 h

Two CVs and a short map of the automation you described: the steps, the systems, and where we expect it to break. You judge whether we understood the problem.

03

Interview and ask what breaks2–4 days

Ask how they get told when a flow fails at 3 a.m. If there is no answer, they build automations that quietly rot. Nothing is billed at this stage.

04

One automation live and measuredDays 1–15

Live and monitored inside the fortnight, with hours saved counted rather than estimated. If it does not save what we said, stop and pay nothing for those days.

05

Documented, then handed overOngoing

NDA and IP before the first commit, flows named and organised, a walkthrough recorded. Keep us on a retainer or take it in-house, both are fine.

Questions

FAQ

n8n, Make or Zapier, which should we use?

n8n when volume is high, data has to stay in your own environment, or the logic needs real code inside a step. Make or Zapier when the flow is simple and low-volume and a subscription is cheaper than hosting. We will recommend the boring one, which is usually the right one.

Can we self-host n8n?

Yes, and for anything touching customer data we usually suggest it. The engineer sets it up in your own cloud with queue mode, backups, credential management and monitoring, then hands over a runbook your team can follow without them.

What happens when an automation breaks?

It should be visible immediately. Every flow we build has an error branch, a retry policy and an alert into Slack, Teams or email, plus a run history you can inspect. Silent failure is the most expensive failure mode there is, so we design against it from the first flow.

Is this the same as AI automation?

Overlapping but different. This role connects systems and moves data dependably. If the heart of the problem is understanding unstructured text, reading emails, summarising documents, answering questions, hire the AI engineer, or use both with a model step inside a workflow.

Will our team be able to maintain what you build?

It is the standard we build to. Flows named and organised, logic documented, a walkthrough at handover. If you would rather we kept maintaining them, an hourly retainer suits that better than a monthly engagement.
