AI agents inside your CRM and WhatsApp that qualify, follow up and update records

Sales follow-up, lead qualification and record hygiene, done by agents you supervise

Two things quietly cost most sales teams more than anything else. Leads that went cold because nobody replied for six hours, and a CRM half full of records nobody could face completing. An agent working on the WhatsApp Business API and inside HubSpot, Zoho or Salesforce fixes both, under rules you set about what it may send on its own.

Agents act in HubSpot / Zoho with approval rules

Agents that live where your sales team already works

Speed of first reply is the single strongest predictor of whether an enquiry turns into a conversation, and it is the thing a busy team is least able to guarantee at four on a Friday. The agent replies within a couple of minutes, at any hour, asks the two or three questions that establish whether this is worth a call, offers a slot from the real calendar, and writes all of it into the CRM with the source attached.

When a person is needed, the agent stops and hands over, with the conversation already summarised, rather than trying to close something it does not understand. The same knowledge base can sit behind your website assistant, so the two answer identically.

Approval rules, decided by you

Every agent has a written list of what it may do unsupervised and what waits for a click. Most clients let it answer documented questions, qualify and book freely, and hold anything with a price or a commitment in it for a human. That line can move once you have watched it work for a month, and it usually does.

Auditable by design

Every message sent, every field changed and every decision taken is logged and reviewable. You can see why a lead was marked unqualified, and undo it. Record hygiene, deduplication, enrichment and field completion, runs on the same schedule, so the reporting you build on the CRM stops being fiction. Deeper process work sits in workflow automation.

What is included

What a CRM agent build includes

WhatsApp lead agent

Replies within minutes on the official Business API, using approved templates and honouring opt-in, with qualification and booking built in.

CRM record agent

Enrichment, deduplication and field completion in HubSpot, Zoho or Salesforce, so your pipeline reports mean something.

Follow-up sequences

Timed, personalised follow-ups that stop the instant a human replies, because nothing annoys a prospect faster than a bot talking over a salesperson.

Meeting booking

Slots taken from the real calendar with buffers respected, plus reminders and a rule for what happens after a no-show.

Approval rules

A written list of what the agent sends unsupervised and what waits for a click, reviewed once you have seen it in action.

Reporting

First response time, qualified rate, meetings booked and records repaired, split by source.

How it runs

Four to six weeks, including API approval

01

Qualification rulesweek 1

A session with your sales team on what a good lead looks like and which questions establish it, written down before anything is built.

02

WhatsApp & CRM setupweeks 1–3

Business API access, message templates submitted for approval, and CRM fields and pipelines mapped. The template approval is the slow part.

03

Build & rehearseweeks 3–5

The agent built and then run against a hundred past conversations, so its answers can be judged against what your team actually said.

04

Supervised launchweek 5

Live on real leads with every message queued for approval for the first week, then loosened as the log stays clean.

05

Review and widenongoing

Monthly review of transcripts and outcomes with sales, where the approval rules get relaxed or tightened on evidence.

Pricing

From $5,000/project

Builds from $5,000; WhatsApp and model usage at cost.

Questions

CRM agents, answered

Is WhatsApp automation allowed?

Yes, on the official WhatsApp Business API, with pre-approved message templates and a genuine opt-in from the customer. Automating a personal WhatsApp account is not allowed and gets numbers banned. We set up the compliant route, including the business verification.

Will customers know they are talking to an AI?

It identifies itself as an assistant when asked and whenever it hands over. We do not build agents that pretend to be a named colleague. In practice most people care that the reply came in two minutes and was accurate.

Which CRMs do you support?

HubSpot, Zoho and Salesforce directly, and anything else with a usable API. If your CRM has no API worth the name, we will say so early, because that constraint usually decides the whole shape of the project.

What can the agent do without approval?

Whatever you decide. Typically it answers documented questions, asks qualifying questions and books meetings on its own, while anything involving a price, a discount or a commitment waits for a person. The rules are written down and easy to change.

How much does a CRM or WhatsApp agent cost?

Builds start at $5,000. WhatsApp conversation charges and model usage are passed through at cost, with no markup, so you can see exactly what the volume is costing you as it grows.

How long until it is live?

Four to six weeks. Roughly two of those are spent on WhatsApp Business API access and template approval, which is outside anyone's control, so we start that paperwork in week one and build in parallel.
